The rota app that knows what a Responsible Pharmacist is
Zero was built alongside a UK community pharmacy group during beta, so the things generic rota tools fumble - RP cover, locum shifts, fridge checks, CD cabinet tasks - are the things it does best. Set your coverage rules once and see every gap coming a fortnight away.
30-day free trial · no card needed

Zero spent its beta alongside a UK community pharmacy group. RP cover, locum shifts, fridge logs and CD cabinet checks were designed against real trading weeks - not a feature list.
- Coverage is a rule, not a note
- The Responsible Pharmacist requirement is enforced on the grid, per role and per branch.
- The GPhC routine, on a schedule
- Fridge logs, CD date-checks and SOP sign-off, each ticked off with a name and a time against it.
- Takeovers and shared ownerships
- One login can hold several organisations, each with its own branches, staff and billing.
Never open short of a pharmacist
A pharmacy without a Responsible Pharmacist on site is a pharmacy with the doors shut. Zero lets you set coverage rules per role, per branch - one pharmacist and two dispensers at the flagship, one of each at the village branch - and then checks every day of the rota against them.
The 14-day look-ahead flags any day that falls short while there is still time to fix it: warnings appear as you build the rota, not as a surprise on the morning itself.

14 days out
Gap warnings while a fix is still cheap, not on the morning itself.
Per role, per branch
Minimum cover for pharmacists, dispensers and counter staff, branch by branch.
Before you publish
Shortfalls are flagged on the rota as you build it, not after the team has seen it.
Role lanes
Pharmacist cover is visible at a glance on the week view.
The jobs that keep the GPhC happy
Every pharmacy runs on a routine of small, unmissable jobs. In Zero they are recurring tasks assigned to the shift, not to one person’s memory: the daily fridge temperature check, the CD cabinet date-check, the monthly stock take, the SOP sign-off. Each one is ticked off with a name and a time against it - a record you can actually show an inspector.
The paperwork side is covered too. Store GPhC registrations, indemnity insurance certificates and training records against each person, and Zero reminds you before anything expires - so a lapsed registration never takes you by surprise.
- Daily fridge temperature checks, logged with a name and time
- CD cabinet date-checks and monthly stock takes on a schedule
- SOP sign-off tracked as a task, not a verbal “all read it?”
- Expiry reminders on GPhC registrations and indemnity insurance

Locums and cover, without the phone-around
When a gap is real, you should not have to spend the afternoon on the phone. Publish it as an open shift and anyone eligible - including your regular locums - can claim it from the app. First to claim, or manager-approved: your choice.
Day-to-day swaps between staff go through the same request-and-approval flow, so the rota stays true without you re-typing it. And geofenced clock-in means a locum’s hours start when they are at the pharmacy, not when they are parking the car.
- Open shifts your whole network can claim from their phones
- Swap requests with manager approval - the rota stays accurate
- Geofenced clock-in that proves attendance on site
- Claimed shifts drop straight into timesheets and pay

From dispensary hours to payslips
The hours your team actually worked - clock-ins, approved amendments, overtime, locum cover - flow straight from timesheets into a payroll run. No re-keying into a spreadsheet on the last Friday of the month.
Zero works out UK tax, National Insurance and pension contributions per person, so what you sign off is what lands in payslips.
- Approved timesheets flow straight into the pay run
- UK tax, NI and pension worked out per person
- Overtime and locum shifts included automatically
- A clear per-person breakdown before you commit

Run every branch from one login
Each branch gets its own rota, its own coverage rules and its own team - but you see the lot from one account. Switch between branches, or between whole organisations, in two taps.
Cover a gap in one branch with a pharmacist from another without a phone chain, and let branch managers run their own week while you keep the group-level view.
- Every branch on its own rota, all under one login
- Coverage rules and staff scoped per branch
- Cross-branch cover without the phone chain
- Granular permissions so branch managers run their own week

Honest answers for pharmacy owners
Will my team actually use it?
That was the first thing we watched in beta. The staff side is deliberately simple: your shifts, your swaps, your leave and your payslips on your phone, with a push notification when the rota changes. Once the rota only lives in the app, checking it stops being a favour to the manager and starts being how people find out when they work.
We’re mid-takeover / have multiple ownerships - can it cope?
Yes. One login can belong to several organisations, each with its own branches, staff, coverage rules and billing, and you switch between them from inside the app. That is common in pharmacy - a takeover in progress, or two ownerships sharing a superintendent - and it works without mixing the two companies’ data.
Is staff data safe?
Yes. Data is encrypted in transit and at rest, access is controlled by granular per-role permissions, and staff contact and pay details are only visible to the people whose job needs them. The full detail is on our security page.
Read the security overviewCan I try it with one branch first?
Absolutely - most groups do. Start on the Zero plan with a single branch on the 30-day free trial (no card needed). If it earns its keep, upgrade to Zero Pro and add the other branches; everything you have set up carries over.
Does it integrate with our PMR system?
No - honestly. Zero does not connect to PMR systems today. It runs the people side of the pharmacy: the rota, coverage, tasks, documents, timesheets and payroll. Your PMR keeps doing what it does; Zero makes sure the right people are in the building to use it.
